Overview

The Results tab lists every file analyzed in the data source against the policy. You‘ll use this screen in conjunction with the other tabs since the various charts allow you to automatically filter the items based on the results you want to view. Hover in front of the file name and select the box that appears to view the scan details for the file. This includes the history of the actions taken against the file. If action is required for the file, you can approve or reject the file from in the file summary panel.

The file name is a link that will open the file from its native location in a new browser tab. The connection settings for the data source are used to open the file. If the document was edited since the last scan (deleted, renamed, etc.), the link may not work. Links are available only for Microsoft Office 365, Microsoft OneDrive, Microsoft Teams, Network File System (NFS), Dropbox, Dropbox for Business, Google Workspace, Google Shared Drive, and Google Drive. Note the following behaviors based on platform.

  • Network File System (Windows, Samba, and FS): Browsers may block the opening of shares or local paths.

  • Microsoft SharePoint and SharePoint Online (Microsoft Office 365, OneDrive for Business, and Teams): SharePoint doesn’t provide a Web view URL, so if the browser doesn’t support a Web view for a document type, it will download the document instead of displaying it in the browser.

  • Dropbox (Dropbox, Dropbox for Business, and Dropbox Teams Drives): For admin mode connections without authentication, the root path email address is used to identify the path of the item, so you must authenticate as the that user.

You can close the panel by selecting the hide icon (right arrow) on the top-right side of the panel.

If you see items in the results that have been assigned to an unnamed tracking group, this is because the last tracking group on the policy contains an empty, unnamed assignment rule. In this scenario, the system treats the empty tracking group as the “catch all” group for the policy. Any items not assigned to one of the “full” tracking groups on the policy will be assigned to this tracking group.

Evaluating an Item

You can select to view an evaluation of each file in the results. This provides a list of all entity types found within the file. You can access the evaluation from the Results grid or the the file details panel.

  1. Click the ellipses (…) on the end of the row in the Results grid or at the top of the file details panel.


  2. Click Evaluate item.

  3. The evaluation modal displays and lists all entity types that were identified for the file. It also includes the confidence rating for each entity.

  4. Click Done to close the modal.

Exporting the Results Report

Use the Export report option to export the report to a csv file. The export includes the information displayed in the grid as well as some additional information.
