Overview

The Accounts page displays scan contents by account to help you identify the accounts with the most content by file count and size. Custom filtering allows you to target obsolete, duplicate, and shared files, as well as other properties essential to your business's data security needs. Drill-down capabilities enable you to quickly view the list of files for each account for deeper analysis. Alternatively, you can use the export feature and require the account owner to follow up on the items. Whether it’s the first step in preparing for a file migration or just a regular part of your process to ensure clean data, DryvIQ makes reviewing content by account simple.

The Stale Data section on this page utilizes the stale data parameters set on the Stale Data Insights page. If you adjust the parameters on the Stale Data Insights page, the changes will also be adjusted here.

The options for filtering, customizing, and working with the information on this page function similarly to those on the Content page. For more information, refer to the related pages listed at the bottom of the page.

When refining accounts based on bytes, the refinement filters are based on individual files and not the account’s aggregate bytes. For example, refining the page to show bytes over 500 will filter out individual files with a byte size less than 500 and not accounts with a total byte size less than 500.

Filtering By Permissions

The Permissions filters allow you to view content based on an item’s permissions. You can select to show just the items where an account is the owner, the item is shared with the account, or the item is shared with a group. You can combine these filters with the other Filter and Refine options to customize the view of the items.

DryvIQ will group all content that does not fit into the selected permission. In this instance, the first row will display these items with the following labels:

  • (Has no owner) for the Is Owner permission

  • (Not shared with any user) for the Shared with User permission

  • (Not shared with any group) for the Shared with Group permission.

You will not see these labels if all content fits within the selected permission filter.

Grouping by Attribute

Grouping displays information grouped by custom attributes that you import into the DryvIQ Platform. Attributes are custom metadata applied to accounts or groups, so the groupings are relevant to your data. DryvIQ provides a starting template for download and use to build an attributes import file. The imported attribute file will populate the Group By Attribute list.

Exporting a Starting Template

You can export the current attributes and use the export as a template for an import. The export will include account and group attributes currently displayed in the grid. The first column in the export will be either "account" or "group" based on the permissions setting for the page, and the export will reflect any filtering applied to the page. The attribute export is only available when the Group By Attribute selection is set to the default value (Ungrouped).

The export is limited to 100,000 accounts. If you need to export more than 100,000 accounts, DryvIQ recommends sorting the grid by the Account/Group Name column and exporting the first 100,000 accounts. Then, advance to page 1000 (since each page has 100 items) and generate another export. Continue this pattern until you have exported all accounts. You can combine the individual export files using a CSV file merge tool to create one import file. When combining multiple CSV files, ensure the header row appears only once.

DryvIQ recommends sorting the grid using the "Account/Group Name" column before exporting. Otherwise, the CSV file will be sorted randomly.

  1. Click Import attributes.

  2. The Import attributes modal appears, and you will be on the Export current attributes tab.

  3. Click Export items. If the button is unavailable, verify that the Group By Attribute selection is set to (Ungrouped), the default value.

  4. A CSV file named account-attributes.csv will be downloaded to your default download location.

  5. The template will include at least an “account” or “group” column based on the page's Permissions setting. This column lists all accounts or groups identified by the available content scans. If additional attributes have been imported, they will be added as individual columns to the export, and the corresponding attributes for each account or group will be listed.

Creating an Import File

The attributes import must be a CSV file. DryvIQ will delete and replace existing attribute data with the attribute information in the uploaded file. You must include existing attributes in the CSV import file to prevent the loss of attributes when editing or adding new attributes. Exporting the existing attributes as instructed above will assist with this since it will include all existing attributes for accounts or groups. You can edit existing information or add new information as needed.

When creating the import file, ensure it meets the following criteria:

  • The first column header must be “account” when creating an account attribute import or “group” when creating a group attribute import. The import will fail and produce an error if your import does not follow this structure.

  • The remaining columns can be customized as needed.

  • All columns are treated as strings. An empty string is the same as having no value for a column. Deleting an existing value in the import file will delete the value when the file is imported into DryvIQ.

  • While an attribute import can contain more than 20 attribute columns, each account or group in the import can be assigned up to 20 attributes only. If an account or group is assigned to more than 20 attributes, the import will fail and produce an error.

  • The maximum string length for attributes and key values is 100 characters. If any value exceeds 100 characters, the import will fail and produce an error.

 

If your import file has multiple formatting issues, DryvIQ will display an error for the first formatting issue found. Upon subsequent import attempts, DryvIQ will present another formatting error if one is encountered.

 

Below is an example of an account attribute import. The first line is the header line, which defines the attributes the file provides. Since this is an account import file, note that “account” is the first header value. The remaining lines provide the values for each account to be included. In this example, the import adds Name, Department Code, and Job Title attributes for each account.

Importing an Attribute File

You can import an attribute file from a local drive or a connection. If you receive an error during import, verify your file has either “account” or “group” as the first item in the header row based on the import type.

If you attempt to import an attribute file before a content scan has been completed in the DryvIQ platform, the import will fail because no file details or file permission aspects are available. DryvIQ will display the following message: “Could not save attributes, check that the ‘file_details’ and ‘file_ permissions’ aspects are available.”

  1. Click Import attributes. The Import attributes modal appears.

  2. Select Upload local file.

  3. Select if you will be importing account or group attributes.

  4. Click Browse to select the file. The file name displays in the field at the bottom of the modal for reference.

  5. Click Upload.

  6. You will see an “Attribute file uploaded successfully” message when the import is complete.

  7. Click the X in the top-right corner of the modal to close it.

  8. The attribute headers included in the file are now available in the Group By Attribute list.

Applying Groupings

The Group By Attribute list lists all the attributes included in the attribute import. No grouping is applied to the page by default, so “(Ungrouped)” displays. Click an attribute in the list to group the information by that attribute. All accounts that do not have the selected grouping will be included in the “-” group to indicate they do not have a value specified for the selected.

Editing the Columns

The Accounts page also features an Edit Columns button that allows you to customize the columns and control how information is displayed. However, you only have the Show raw value and Hidden options. The Show/Hide and Redacted options are unavailable on the Accounts page. Refer to Editing the Content Grid Columns for complete information about how to use the Edit Columns feature.

Saving Views

You can save a filtered view on the Accounts page just like on the Content page. Saving a view saves all the current filter options, searched words, and column configurations so you can apply the same view to the Accounts page later. However, you can only save a private view on the Accounts page. Private views are only accessible on the machine where they are created. Refer to “Saving a View” for more information on creating and managing saved views.

Click the arrow icon in the Account Name column to view the filtered content for the account. This action will direct you to the Content page, which will be filtered to display items specific to your account.
