Overview

File Inventory is the default page when viewing Insights. It provides insights into the files and file formats identified by your content scans. You can view each chart based on file size or file count. All charts are interactive, so if you click on a section in any chart, you will be taken to the Contents page, and the grid will be filtered based on the selected information.

Selecting Content Scans

By default, the charts display information for all content scans. If you want the charts to display information for specific content scans or document sets, click Files across selected content scans and choose the scan(s) you wish to use for filtering the information. Refer to Selecting Content Scans for information on how to select specific content scans, document set scans, or both. To view information for all content scans again, click Files across all content scans.

Click Files across selected content scans if you need to review which content scans are selected.

Statistics

The first section shows the statistics for the files discovered. It identifies the total number of scans that have run and the number of locations (data sources) being scanned. Next, it identifies the total size of the scanned content. Finally, it shows the total number of files identified. The statistics always display the information for all locations; the statistics are not affected by the location selections.

Modified Date

This chart groups the content by modified date. The ranges are <1 year, 1-2 years, 2-3 years, 3-4 years, 4-5 years, and 5+ years. Where applicable, DryvIQ will use the content's modified date if the platform provides it. Based on the filter, it will identify the total number of files or the total size of the content for each date range identified. You can hover over a section of the graph to view the details for that date. Selecting a section of the chart takes you to the Contents page, and the page will be filtered based on the date you selected.

File Breakdown

This section displays two line charts. The first line chart breaks the content up into size categories. The ranges are 0-10 KB, 10 KB-100 KB, 100 KB-1 MB, 1 MB-10 MB, 10 MB-100 MB, 100 MB-1 GB, 1 GB-5 GB, 5 GB-10 GB, and >10 GB. The second line chart categorizes the content by file type (documents, images, etc.). Hover on a category in either chart to view the number of files in the category or the total size of the data depending on the filter selected.

File Extensions

This chart breaks the content down by extension. Based on the filter, it will identify the total number of files or the total size of the content for each extension identified. You can hover over a section of the graph to view the details for that category. Selecting a section of the chart takes you to the Contents page and filters the page based on the extension you selected. You can remove extensions from the chart by clicking on the extension in the chart legend. The extension name will display with a strikethrough to indicate it has been removed. Click the extension again to add it back to the chart results.

Folder Depth

This chart provides a folder depth breakdown to help you understand the structure of the content. Based on the filter, it will identify the total number of folders or the total size of the content for each folder level identified. You can hover on a section of the graph to view the details for that level. Selecting a section of the chart takes you to the Contents page and filters the page based on the folder level you selected. You can remove folders from the chart results by clicking on the folder group in the chart legend. The group will display with a strikethrough to indicate it has been removed. Click the folder group again to add it back to the chart results.

Copying Charts

All charts have a Copy option that allows you to copy the chart to your computer’s clipboard. This allows you to paste the chart as an image into email messages, documents, etc. as needed.

Saving Charts

The Save button allows you to save the chart as a PNG image file. The file will download to the folder specified as the default download location for your browser. Once downloaded, you can insert the image into documents or email messages as needed.
